Managed Print Service at Dyer & Butler combines hardware and software to reduce costs and waste yet increases functionality, reliability and security.
Founded in 1979, Dyer & Butler is a regional civil engineering and building contractor that undertakes a wide range of often complex projects throughout England and Wales. Quality, the environment and sustainability are strategic issues so unreliable and expensive multi-function devices had to be replaced.

The service support on their MFDs needed to be improved as operational issues such as late toner replacements adversely affected productivity. A hardware supplier with strong software and IT expertise was required to help with their scanning and print management software. A proven track record of supporting these systems was essential.

Ian Stewart, Director of Copyrite explained, “The MFD’s were replaced; 38 faster and reliable Ricoh devices were installed across the 17 sites. A single pass document feeder now enables scanning both sides concurrently, increasing productivity on every device. Copyrite implemented a Managed Service to cut print costs while giving visibility and control of all printing and importantly, to improve productivity and reduce the environmental footprint.”

Managed Print Services

Copyrite has been supplying Managed Print Services for many years, ensuring that hardware and software is implemented to achieve the best results.

The service includes:

  • Accessing and analysing current printing infrastructure
  • Monitoring, managing and optimising the total print output environment, end to end, regardless of printer brand
  • Automating slow, paper-based processes into digital workflows
  • Proactively identifying and solving potential printing issues and replenishing supplies before business is affected
  • Giving mobile workers easy and secure printing access

PaperCut Print Management

PaperCut's core purpose is to track all printing in a network environment. It keeps detailed print logs for all users printing activity which helps to understand printing at all levels of the business, such as by user, printer, group, department, office or shared account.

To understand print costs, Dyer & Butler can create reports with custom data by specifying date ranges, filtering and sorting by the data available. Reports are regularly generated and emailed to company members or scheduled to be saved to disk.

In addition, the software aims to:

  • Reduce the amount of waste
  • Implement ‘Find Me’ for greater security of confidential information and reduce waste of uncollected jobs
  • Establish a set of rules to reduce print costs (e.g. email to black and white)

Find Me printing solves the problem of finding the closest printer from a long list of available printers. The roaming print service allows print jobs to find users based on their physical location, making it an ideal solution for larger sites operating a common printer fleet. It is sometimes referred to as "Pull Printing", "Push Printing" or "Follow Me" printing.

m3i (scanning interface)

To replace GlobalScan and enable scan to file and scan to email, Copyrite recommended the m3i platform - designed to remove the barriers that exist between office equipment and users and connect people more effectively with their office tasks. The seamless link between MFDs and back-end systems delivers functionality and content in different formats concurrently on multiple devices.

The benefits of m3i include:

  • Full integration with PaperCut
  • A simplified user interface to increase productivity
  • Integrates with third party applications

John Davies, Financial Director at Dyer & Butler said, “We are constantly opening new sites and need a reliable supplier with a proven track record in reducing costs and waste while improving security. The multifaceted approach combining software and hardware in a managed service enables Dyer & Butler to stand by our principles of quality, sustainability and support for the environment”.
